Trainee Shared drive / Living Documents
The Trainee Shared drive is the folder where all <AgeID> school folders are kept. Inside of your AgeID school folders will be the following living documents:

CEDP ICT Trainee Guide
The Trainee guide is a very Important living document for all Trainees. This document should contain information about:
The primary contacts details for Kathy, Jane, Linda and your current TSO
All primary contact points and people for the school
Any and all important site specific information (Links to common site, an accurate count of all devices, Details of the servers and the services that they are currently running, information on the work you will be doing with head office, the processes and responsibility of the trainee assigned to the specific site)
Anything else you deem necessary or important for your site
Network Printers Onsite
The network printers onsite living document should reflect all of the current printers and photo copiers. This includes:
Where they are located
The admin password,
Who has access to print to the device
Whether it is color or just black and white
The devices IP Address
Full Model Name
If any alteration is made to this document a ticket should be logged in the printers section of the requestor portal so that the changes can be reflected in iPrint.
Telephony (VOIP) Customer Data Sheet
The Telephony Customer Data sheet is a living document that displays all of the relevant and important information about the VOIP Phones currently onsite. This sheet will should contain the following information:
Extension number
MAC address
Phone location
Text to appear on phone
Email address to be notified if there is a voice mail
Phone type
Access level
Additional extensions
Phone module installed
If a phones details need to be changed you can find a section in the requestor portal to log a ticket.
If a phone is being moved log a ticket in to get the ports properly configured.
S3 - Fileshare - Groups and Members
The S3 - Fileshare - Groups and Members is the living document that controls who has access to different files in the <AgeID> Fileshare. This is done by organizing all of the staff into groups in the bottom half of the page. once all of the staff members have been organized, you then provide them access to different folders (found in the A column) with read + write access or just read access (staff members can be in more then one group if they require access to many different files).
S9 - Data Gathering - Switch Replacement/Patching V2
The S9 - Data Gathering sheet is the living document we use to keep track of the server cabinets. In this document you will find many different pages of information. The first sheet should be an overview and should include:
Switch number
Area of Cabinet
Switch Name
Number of ports
Switch model
A WAP/Server map for your site
Then every page after that should be dedicated to a single switch. These pages will be called the name of the switch. They will include
A table detailing the switch ports, The device that is plugged into the port, the devices status, the devices MAC address and the patch port every switch port is connected to.
A map of the switch ports and what ports connect to which patch ports.
